EXTRA™ Application Instructions
Purpose
To provide a methodology in reviewing and submitting applications and guidelines to the National Board of Directors (NBOD).This standardized process ensures that all programs operate in a consistent manner and in accordance with standards approved by the AYSO NBOD. Volunteers, Players and Parents should experience the same program standards and procedures no matter where they participate. This is critical to the success of measuring any AYSO pilot program and EXTRA is no exception. With well-organized, consistent guidelines within the criteria set for this national program for all Regions and Areas to follow, there will be clearer understanding and less confusion for the participants.
Documents
EXTRA Pilot Program Application
Any group of volunteers who will be conducting the Extra Pilot Program is required to complete the application form. It must be submitted by the appropriate Regional Commissioner, Area or Section Director. Include one Extra Regional Confirmation sheet (last page of the application form), with RC signature, for each Region that will be participating in the program. EXTRA programs are primarily geared to be Area or Section administered programs and the appropriate signatures must be on the Application. In all cases, the Section Director, if not submitting, needs to receive a copy of the Application.
EXTRA Pilot Program Guidelines
It is recognized there may be unique requirements or needs in your Region/Area/Section, based on field constraints, local geographic or play conditions or other factors. You are strongly encouraged to use the sample set of guidelines as the basis for your program, making as few modifications as necessary. The Application review process will be expedited since the familiar format will help the approvers move quickly through the review.
Submission
Application Packages are required to include the Application form, a Regional Confirmation page per region and Extra Pilot Program Guidelines. As you save and name these documents, please use a standard format, including your Section or Area, in the name. Submit to: scottgimple@ayso.org
Review Process
To assist the Extended Play Task Force in providing you a speedy review and submission timeline, PLEASE submit the Area/Section Extra Program Application (including all copies of Regional Confirmation sheet) and Program Guidelines at the same time.
Reports are pulled from eAYSO with information about the Regions and Areas and we look for the following:
- Do AD’s, RC’s and board members have current appointments, volunteer forms and job specific training and certification?
- Are there enough coaches and referees with sufficient certification levels for the ages that will be participating?
- Are Regions current in their Accounts Receivables?
Once the Extended Play Task Force reviews all documents, a member will contact the submitter with any questions or issues that are raised. The Extended Play Task Force will then work with you and your volunteers to finalize details of the program in order to recommend approval of your pilot program to the NBOD. The more complete the Application is when submitted, the faster it can be reviewed and presented to the National Board of Directors for their approval.
